Trials, plans & billing
Do I need a card to start my trial?
No. Your trial lasts 30 days and uses the active-worker allowance of the plan you choose. You get all features and unlimited sites, administrators and managers. No payment is taken unless you authorise a paid subscription.
What happens when the trial ends?
If payment has not been arranged successfully, operational access pauses. Billing remains accessible so a full administrator can activate a subscription. Starting a trial alone does not create an automatic charge.
What is different between the plans?
The monthly price and number of active workers. All plans include the same features. Sites, administrators and managers are unlimited. See Pricing for current prices and allowances; Enterprise can have an agreed custom price and worker limit.
Do inactive workers count towards the limit?
The allowance counts active worker accounts. Inactive workers do not count. Administrators and managers are separate from the worker allowance. Existing records are not a reason to keep a former worker active.
Can I upgrade or downgrade?
A full administrator can manage the plan in Billing. An upgrade applies after its proportional payment succeeds. A downgrade is scheduled for renewal, and your active-worker count must fit the lower allowance. New worker activations also respect a scheduled lower limit.
What does cancel any time mean?
You can stop your next renewal at any time through Billing. Cancellation takes effect at the end of the current paid period, and access continues until then. It does not automatically refund that period or delete company records. The Terms page explains cancellation and refund requests.
What happens if a payment fails?
Stripe may retry collection. Operational access pauses once the company’s paid access expires, while Billing remains available to resolve payment. Ask a full administrator to check payment details and invoice status.
How do promotional codes work?
Eligible targeted offers can be entered during the subscription setup. The offer specifies its discount, duration and conditions; the standard agreed price applies afterwards. A trial and a paid-month discount are different: the discount applies to eligible paid months.
Workers, roles & scheduling
How do workers get access?
An administrator creates the worker with an email address. TradeCore emails their login details and access link so they can set their password. The administrator sees whether delivery succeeded and can resend if needed. Keep each person’s email accurate and do not share accounts.
Can managers have different permissions?
Yes. Full administrators control administrator accounts and access. Office staff can manage day-to-day operations but cannot create, remove, deactivate or change access for administrators. Contracts managers work within their assigned worker scope and can create workers.
How does weekly scheduling work?
Allocate workers to sites and their work areas. The schedule provides worker and site views so you can review assignments through the week. On mobile, worker names stay visible while you scroll across dates.
Can workers record holiday or sickness?
Yes. Workers can use the absence option in More, and administrators can manage absence for workers. Holiday periods prevent conflicting scheduling. Sickness can notify the responsible team so an existing allocation can be reviewed and reassigned; it is not automatically reassigned.
Does the app track workers all day?
No continuous background tracking is used for attendance. When a site has location checks enabled, a location reading can be requested during the start or finish action. Accuracy depends on the device and conditions; administrators should review exceptions.
Sites, job records & trade workflows
Can I use it for domestic work as well as new builds?
Yes. Use rooms for domestic jobs and plots for developments, with work areas appropriate to the job. A company can manage domestic, commercial, new-build or mixed work.
Can I change a site from plots to rooms?
The Edit site screen lets an authorised administrator change how the site is organised. Check the existing work-area names and records afterwards so the wording reflects the job correctly.
Can I add a site image?
Yes. Upload a site image when creating or editing a site. If none is provided, a default image is selected according to whether the site uses plots or rooms. Job progress photographs are separate from the site cover image.
Does the workflow fit my trade?
TradeCore has starting workflows for its listed trades. The company can edit stages to match its own process. Individual trade pages explain the relevant starting workflow and examples of use.
Where do photos, notes and issues go?
They stay with the relevant job or work record so the office can review progress and follow up issues. Resolved issues are separated from the main open list. Selected photos can also be shared through a revocable gallery link; anyone with that link can view them.
Timesheets, pricework & invoices
Are timesheets reviewed daily or weekly?
Daily entries are retained but grouped by worker and working week. Workers can submit ready days together, and an administrator can review the weekly group while still checking or querying individual days. This reduces repetitive approvals without losing the daily detail.
Can the timesheet week differ from the invoice period?
Yes. Invoicing settings control the timesheet week separately from weekly, fortnightly or calendar-month invoice frequency. Setting changes apply after the current period rather than rewriting historical grouping.
How is pricework treated?
Pricework uses completed tasks and agreed rates, with separate review and approval. Attendance can still be visible for context, but pricework attendance is not also charged as day or hourly work. This avoids charging the same work twice.
Can I query or reject an entry?
Authorised reviewers can query or reject records that need attention rather than approve them. Approved hours and hours already reserved for invoicing are protected from being overwritten. Resolve corrections through the appropriate review process.
Does TradeCore pay workers or run payroll?
No. TradeCore supports worker invoice review, approval and payment recording. Marking an invoice paid records a payment made elsewhere; it does not send money. Your company remains responsible for payroll, tax, employment status and checking amounts.
Sage, Xero & QuickBooks exports
Which accounting software can I export to?
Choose Sage 50 Accounts (UK), Xero or QuickBooks Online in the company’s Accounting menu. TradeCore creates a CSV file for you to import. The QuickBooks bill importer is available in its UK Essentials, Plus and Advanced plans. The Sage format is specifically for Sage 50 Accounts, not every Sage product.
Is this a live accounting integration?
No. This version downloads CSV files; it does not connect to your accounting account or synchronise records automatically. You review and import the file in your accounting software. No accounting password is needed in TradeCore.
Who can export the company’s invoices?
Full administrators and office staff can use Accounting. Each company has its own settings and export history. Workers and restricted contracts managers cannot access the company-wide accounting archive.
What can I include in an export?
Select approved or paid worker invoices, filtered by invoice date and worker, in batches of up to 100. The export uses the recorded invoice totals, including day work and pricework, and creates one summary line per invoice. It creates supplier bills rather than payroll entries or bank payments.
What do I need to set up first?
Match each worker to the supplier name or reference in your accounts, and enter the correct expense account and purchase tax mappings. Settings are saved separately for Sage, Xero and QuickBooks. Preview the amounts and mappings before downloading, then check the import preview in your accounting software.
Does an export mark invoices paid or prevent every duplicate?
Exporting does not change payment status or send money. TradeCore records each batch and prevents the same invoice being included in another batch. You can download the original file again from History, but importing it twice could still create duplicates in your accounting software.
Does it calculate CIS or reverse-charge VAT?
No. The current export supports the invoice’s recorded 0% or 20% VAT totals in GBP. It does not calculate CIS deductions, reverse-charge treatment or payroll. Check these separately before using the file; ask your accountant which tax mappings and adjustments your company needs.
Are accounting exports included in every plan?
Yes. Every TradeCore plan includes the same features, including accounting exports. Your accounting software is a separate product and may require its own subscription and a plan that supports bill imports.
Devices, branding & support
Can workers keep their CSCS card in TradeCore?
Yes. Where worker self-service is enabled, workers can upload front and back images to their profile. Authorised administrators can see both previews in the worker record. Keeping a photo does not verify the card or replace your company’s checks.
Can I email both CSCS card images?
Use Send card to choose a supported sharing or email app. On browsers without file sharing, download the images or an email draft with both attached. Email-draft support depends on your email application. Images are not emailed automatically.
Does it work on phones, tablets and computers?
Yes. TradeCore is a browser-based app with layouts for different screen sizes. Add it to the home screen on supported devices for convenient regular access. An internet connection is needed to reliably load current records and save changes.
How do I install it on my phone?
On Android, open TradeCore in a supported browser and use Install app or Add to Home screen. On iPhone or iPad, open it in Safari, tap Share and choose Add to Home Screen. Wording and availability depend on the browser and device.
Why am I not receiving notifications?
Check both the app’s notification preferences and browser/device permission. A blocked permission must be changed in the browser settings. Availability also depends on the device and whether the app is installed; the in-app notification list remains available when signed in.
Can the app use my company branding?
Yes. Company branding settings support your business name, logo and colours. Your users see that branding in their workspace; TradeCore remains the service provider.
How do I get support?
Company administrators can open Support in their workspace to create a ticket and follow replies. If you cannot sign in, email support@tradecore.ltd. Workers should contact their administrator about pay, allocations or approval decisions.
What happens to data when I cancel?
Cancellation stops billing renewal and does not immediately delete your records. The privacy notice explains retention and rights. Contact support separately for company closure or a data request, and keep copies of records your business must retain.
